Seneschal - Gwen
* Reminder to all officers – any event announcements/change of plans/cancellations need to be posted to the Wyewood email list (wyewood at lists.wyewood.org<mailto:wyewood at lists.wyewood.org> ). Post should be from your officer email account, and preferably before posting on social media. Social Media platforms are not the official communication outlet for the Barony.
* Per Kingdom Chronicler, but frankly every office - remember to send in your quarterly reports to Kingdom. It is mandatory.
* Customary revision - Draft, with edits in Track Changes, sent out to group on January 4th. Worked on by the coronets, Seneshcal, and Robert Trinite
* The Barony of Madrona has requested to hold their A&S Championship event at the Feast of St. Bubba’s.
John passed on that it was a theme at the Noble Estate Meeting that combined events are becoming the norm with limits on space. Gwen noted libraries are available for competitions if needed. John also noted Madrone is bringing in judges for any who wish to learn more about how the kingdom rubric. Margaret addressed the timing of the announcement and that there is a different pacing in out baronies.

Exchequer Report for Baronial Business Meeting
January 13, 2026
Required Financial Committee meeting for 4th Quarter 2025 was held on 12/21/2025. Financial committee consists of Coronets, Seneschal and Exchequer.
- Discussed preliminary YTD 2025 revenues and expenditures, financial position expected at end of year.
- Noted that donations received were higher due to an employer match by one of the donors that cannot be counted on reliably for future years.
- Reviewed changes to potential revenues for 2026, small increase to Rapier marshal budget, cost increases to storage and post office box costs.
- Committee (Coronets, Seneschal, Exchequer) approved budget for 2026.
o $2620 potential inflows (including event proceeds net of event costs)
o $7340 projected uses for non-event expenses (offices and admin)
o For a net decrease in Baronial cash reserves of $4770
Note that a budget is intended to set a maximum spending authorization for the upcoming year. Of the total $6193 appropriated for 2025 costs not directly related to events, a little over $2200 remained unspent at the end of the year.
Highlights of 2025 financial activity include:
- $4291 in direct donations received
- $5069 in Event income net of direct costs (site rents, supplies, etc.)
- $648 in officer expenditures
- $$4504 spent in support of activities (storage, PO box and meeting space rent).
- Total Net INCREASE to baronial assets of $4217
Preliminary year end shows a balance at Mechanics Bank of $14,572.09:
$5715.92 in chequing, $8,856.93 in savings.
Upcoming “chores” for Exchequer office in coming months
- Year End Financial report due to Kingdom by end of month.
- Inventory of storage locker when items used for Feast of St Bubba are returned.
- Securing receipts for baronial property in the care of Coronets, champions, officers, etc.
- Update and correct Wyewood Financial Policy, in accordance with updated Society (updated 2025) and Kingdom (in process) policies.
- Schedule Kingdom “review of books” that should be conducted after change in exchequer office.
- Discuss creating a space on web site for submitted financial information: e.g. annual budget, summary of annual Domesday reports submitted to Kingdom.
Exchequer news: changes in availability of insurance certificates for equestrian events. Potential consolidation of all US bank accounts to single bank; I personally do not expect movement on this for a year or more.
-Confirmed with Baron that the number of insurance certificates will be limited. Insurance certificates are site specific. Used to cover 80%, dropping to 50%.
Chatelaine – Kate
* New white satin badge with to identify Chatelaines and banner for table to identify people willing to be approached. Classes being filmed to be shared. A lot is going on, and there is a new Kingdom Chatelaine. Lots of excitement on recruitment and retention.
A&S – Petra
* Had good A&S Social in January, planning of February.
Herald – Mir
* Herald reports due on different dates than baronial office and will send in soon. Delighted to report Madrone and Kingdom have helped submission to be ready. Working Alex, still in limbo. Will be out of Kingdom at event; need subs.
Scribe - OPEN
Chronicler – Gabri
* First issue of Wye’s Mouth out. Will work on much better graphics and requesting photos and
Archery – Tymme
Archery delayed d/t flooding, then Twelfth Night. Hope to resume this week.
Rapier – Dearbhail
* Rapier continues to happen and we are back at Talbot.
* We have had 12-15 participants, with spontaneous Cut & Thrust as well. I have communicated with Don Samuel's successor to see if they will continue submitting C&T participation at Wyewood with the Madrone C&T report.
* Boreaus hosted a practice tourney on December 21st. It was well attended.
Heavy – Raoukinn
* Not present
Social Media – OPEN, interviews to be held
* Gondul the Unwitty- not present at meeting. Had messaged officers earlier about the meeting. Able to call in later and questions given. Intro focusing on using media to reach to younger Gen Z participants. Has and uses all platforms. Plans to do more work on the computer. Is retired. Asked why this office- answer opportunity to grow along side barony and society evolves. Feels social media will help us continue to grow. Asked about being FB Mod, and has done some with different groups. Member of Communist Party? Absolutely not. Is a member of the Eagles.
* Michelino de Gino Martini. Intro- referred back to letter sent. Questioned about over extending. Does a lot of work on Wiki, but does not feel it will compete. Does note he is starting a new job. Already on all 3 used platforms used by Wyewood. Never was a member of the communist party.
* Non officers sent to waiting room: Discussion held, vote taken. Michelino di Gino voted to position.
Webster – Simon
* Had Webster meeting at 12th Night. Tymme had suggest online check out system. Dragonslaire has public site; does not feel secure.
* Gymn Mere has system that is pay to use to post in multiple sitesMicrosoft changing licensing for non profits in April. Will be limited to 300 per Kingdom.
* Wants to discuss inventory list and exchequer reports more due to public posting. Sara clarified to post bare bones and budget. Inventory list to be available on request after inventory. Tymme suggest to give out URL when needed but has had issues with this in the past.
* Wishing to look at stepping down in some months. One candidate has expressed interest.
Chamberlain – Rasmuss
* Not present. Assumed still not communist.
Coronets – John & Margaret
* Twelfth night banners back in Margaret’s possession. We also have new silk banner made by Bjorn.
* Hopefully everyone enjoyed event. Congrats to Baroness Margaret on Sable Pheon. Progress: Ursalmas, Feast of St. Bubba. Day trip Baroness War in Grandview. Kingdom A&S. Day of Archery (Looking for event Steward). May Crown.
* Baron will be gone much of March, Baroness gone part of May
* Discussed at Noble Estate: Look at getting new people in as deputies. Baroness suggest combining February business meeting with FCS for that month on February 27th.
* Aline and Alrich will open FCS site for January as many will be at Ursalmas.
* Quest books for Sergeanty published and will except entries at Feast of St. Bubba.
Old Business

* Working on cleaning all linen and serving dishes. Also trying to inventory as I go.
* Completing schedule- expect to have it out by this weekend.
* One class is cancelled due to instructor not being able to attend. I would like to offer a replacement.
* Walk through with even cook Lady Gondul scheduled for Friday
* Wyewood has 1 candidate for each competition. I have not heard if Madrone has an additional competitor
* Need to add competition format to Kingdom Event and FB Event site.
