Business Meeting Notes

I.   Agenda ~ Meeting was called to open by the Seneschal, Ameline at 7:50 p.m. at the North Hill Community Center.

II.Officer Reports
Exchequer reported funds are looking good.  Chatelaine reported email access will be limited due to travel.  We have a new A&S Minister, Lady Oddny.  Lady Sofia has agreed to be her deputy.  Appreciation was expressed for Lady Miranda’s service.  Office of the Herald reported continued work on consulting.  Chronicler committed to having first edition of the Wye’s Mouth by October.  The Webster reported the website was up and the email issues with the site have been resolved.  Archery Marshal reported there have been lots of practices and participation in events.  Chirurgeon reported paperwork was filed at Mostly Messes.  
 
III.  Events
Champion’s Event:  Lady Constantia gave an event report for Champion’s.  Event made a profit of $336.49 and an event report is almost complete and being prepared for filing.
 
Mostly Messes:  Constantia gave a partial report related to the feast, which went slightly over budget.  She made special mention of specific gentles for their help with the pre-cooks.   A full event report will be provided later.
 
Emprise:  We are co-hosting with Madrone and Ameline is acting as the communication liaison.  Lady Emma has once again agreed to do decorations on the site. Lady Matillis is running gate and volunteers are needed for both activities.  It is likely the FCS before the Emprise will be at Reber Ranch to help with site set-up.  Please contact Matillis to volunteer for gate on Saturday, September 14th, 2013, between 8:00 a.m. – 3:00 p.m. 
 
The archers are looking for assistance transporting the target butts to site.  Please contact Lord Tymme if you have capacity to assist. 
 
12th Night:  Ameline provided update for Lady Alianora.  Monthly planning meetings will start in September.  Rooms are once again near capacity and there is a possibility of negotiating the contract again.  
 
Event inquiry:  Lady Vilda is researching sites for a Yule Feast.  Looking at the An Tir calendar it seems as though December 7th is the only open option.  She is considering an Oak King versus the Holly King theme and is looking for a head cook, game (competition) coordinator as well as volunteers to help with set-up and take down.  Please contact her if interested.  Ameline requested a formal event bid prior to the next business meeting.  
    
IV. Votes
Ameline requested a vote on Customary updates being approved and for v10-2013 to be posted to the site.  Updates do not include any context changes and are only minor corrections (punctuation and spelling errors).  Ameline advised if any wanted to review the document changes to please see her.  Motion was made to accept changes to the Customary and the majority approved.  
 
Ameline requested a vote on a disbursement for the Admin Retreat hosted by The Society.  It is approved in the Customary for the Seneschal and Exchequer to attend.  They are requesting their deputies also attend for a total of a $320 expenditure.  Motion was made to approve the expense and the majority approved.    
 
V. Opens
Lady Rachel is raising funds for a homeless cat.  The cat is in need of surgery and to be fixed.  She has key-chains available for a recommended donation of $5 and the group agreed it was fine for her to raise funds at FCS.
 
Vilda has extra firewood and is willing to make it available for September Crown / Autumn War if any would like to come by and grab a load.  She would also like to start a stitching circle for Baronial garb in preparation for 12th Night.  She also requested the Wyewood Players prepare a piece of music in time for the Yule.
 
Reminder that Lord Xenos is coordinating parking at September Crown and is still looking for volunteers.
